    Administrative Assistant/Receptionist


    The Administrative Assistant / Receptionist is responsible for being the first face and voice greeting visitors to the studio, routing visitors and packages to the appropriate places. This position will also have the responsibility of a supporting the operations and production staff with a variety of administrative tasks.


    Administrative Assistant

    • Oversee the collection of paperwork to onboard new freelancers, vendors, and clients
    • Assist with generating financial documents, such as freelancer timecards, purchase orders, estimates, sales orders, and invoices
    • Collect and process freelancer invoices for timely payment
    • Data entry for production support, including generating call sheets, maintaining shot lists, and entering in production data into the Production Resource Management database
    • Maintain studio mailing list
    • Organize and copy receipts and invoices of studio expenses
    • Coordination and arrangement of studio meals and snacks. Overseeing catering setup.
    • Act as support to staff, clients and freelance associates as requested, such as filing, sorting packages, labeling envelops, etc.
    • Merchandise coordination (Storing, moving and packing up boxes)
    • Assist in coordinating studio parties and events
    • Special projects as requested



    • Open the studio each day at 8am. Prepare studio for the day:  make coffee, empty dishwasher, clean up common areas
    • Answer and direct incoming calls
    • Greet and direct visitors/clients/freelancers
    • Receive/track/distribute incoming and outgoing shipments or mail
    • Track and maintain studio supply: replenish studio supplies as needed including drinks, snacks and general office supplies, make trips outside the studio as needed
    • Keep supply cabinets and closets neat and organized
    • Maintain studio’s overall aesthetic, including plants and main areas, like reception, lobby, conference room, kitchen, bathrooms, etc. Clean up the conference room after meetings or meals.  General clean up at the end of each day, taking out trash when necessary.
    • Maintain relationships with vendors related to the general operations of the studio, such as phone, electrical, janitorial, water, linens, craft services, trash & recycling, messengers, etc.


    • 2 years college
    • Minimum of 2 years reception or administrative assistance
    • Excellent people skills
    • Strong written and verbal communication skills
    • Microsoft Excel and database experience preferred
    • Experience with financial documents preferred
    • Comfort with hearing voice over loudspeaker intercom
    • Familiarity with commercial photography studio or related business a plus
